SEAGLASS VILLAGE HOMEOWNERS MEETING

November 13, 2023

6:00 PM

 

MINUTES

 

The Chair called the meeting to order at 6:00 p.m. and a quorum was declared. All Board members were present: Sandra Weymouth (in the Chair), Lorraine DeVaux, Mickey Meza, Howard Raff, Judy Moseley. Staff present was Jim Hoyt, General Manager.

 

Minutes were approved from the October 16, 2023 Board of Directors Meeting.

 

President’s Report was given, and Sandra announced the 2024 Board of Directors meeting dates. A motion to accept the schedule passed unanimously.

 

The Treasurer’s Report was given and approved for October 2023 and accepted unanimously.

 

GM report was given, which included noting that all cottages have been winterized (2nd soonest closing ever). Sandbar has been winterized. Clubhouse will be closing in the next week. And the bio ponds have been cleared out. GM requested moving $3,000 for fence repair to the reserves to be re-allocated to next year’s fence repair budget. Motion was made and passed unanimously.

 

Sandra proposed for Board discussion a policy regarding outward-facing window treatments. After discussion, no motion or action was taken, as there will be further discussion and a policy potentially drafted.

 

A motion was made to approve the drafted HR Charter. Upon discussion, the motion was withdrawn, pending further editing and review of the charter.

 

 

Committee Reports:

 

ARC: Tree inspection completed and a list of dangerous trees has been compiled.

 

Entertainment: Jon expressed that we had a great season despite the weather. There were 133 Seaglass Passes sold in 2023, and the committee is proposing slight changes for 2024. Bands are already being booked.

 

HR – Witner projects for year-round staff being discussed including the creation of a “playbook” of day-to-day tasks

 

Rentals – While not making budgeted numbers, rental income was good this year. Postcard and email marketing in place, and the committee is hoping for a 2024 rebound. There are currently 14 cottages in the association’s program and 1 independent. Another 4-8 are anticipated.

 

Rental Ad-Hoc Committee – has conducted first meeting to discuss goals and assignments and has a next meeting planned for December

 

Sandbar – thanked Jim, Sophie and Dustin. $3800 in the black. Will be purchasing some replacement barware and tech, and returning unopened items to distributor.

 

 

Homeowner Forum: 

None.

 

The Board recessed to Executive Session at 6:52 PM.

 

The Board returned to the general session at 7:43 PM. No further action was taken and the meeting was adjourned at 7:43 PM.
